Acceptable Use Policy

This Acceptable Use Policy governs use of VantixOS and is incorporated into the VantixOS Terms and Conditions. It protects VantixOS, customers, users, communications channels, infrastructure, AI systems, and third parties from unlawful, harmful, abusive, or irresponsible use.
Customers are responsible for ensuring that their users, staff, agents, contractors, integrations, and automated workflows comply with this policy.
1. Purpose
VantixOS is designed for legitimate business CRM, sales, support, lead conversion, analytics, workflow automation, and communication activities. The Services must not be used in a way that harms individuals, violates law, disrupts systems, abuses communications channels, misleads recipients, or undermines trust in the platform.
2. General Compliance
Customers and users must comply with all applicable laws, regulations, industry rules, platform rules, consent requirements, marketing laws, telecommunication rules, financial services obligations, sanctions, and third-party terms applicable to their use of VantixOS.
3. Fraud and Illegal Activity
- Do not use VantixOS to commit or facilitate fraud, deception, identity theft, scams, money laundering, terrorist financing, sanctions evasion, bribery, corruption, or other illegal activity.
- Do not upload, process, or distribute information obtained unlawfully or without necessary rights, permissions, notices, or consents.
4. Spam and Messaging Abuse
- Do not send unsolicited, deceptive, excessive, or unlawful communications.
- Do not use VantixOS to evade unsubscribe requests, opt-out requirements, consent rules, sender identity requirements, messaging platform rules, or anti-spam laws.
- Do not use misleading subject lines, false sender identities, deceptive routing, or unauthorised contact lists.
5. Malware, Phishing, and Harmful Code
- Do not upload, transmit, link to, or distribute malware, ransomware, spyware, viruses, worms, trojans, malicious scripts, credential harvesting pages, phishing content, or harmful code.
- Do not use VantixOS to impersonate trusted parties, collect credentials unlawfully, or compromise accounts, devices, networks, or services.
6. Harassment and Harmful Conduct
- Do not use VantixOS to harass, threaten, abuse, intimidate, defame, exploit, discriminate, or target individuals or groups unlawfully.
- Do not process or distribute content that is hateful, sexually exploitative, abusive, or otherwise unlawful.
8. Scraping, Reverse Engineering, and Platform Misuse
- Do not scrape, crawl, harvest, copy, or extract data from VantixOS except through authorised product functionality or documented APIs.
- Do not reverse engineer, decompile, disassemble, modify, resell, frame, benchmark for competitive purposes, or create derivative works from the Services except as expressly permitted by law.
- Do not use bots, scripts, or automated access in a way that harms performance, security, availability, or fair use of the Services.
9. Abuse of AI Systems
- Do not use AI features to generate unlawful, deceptive, harmful, discriminatory, harassing, or misleading content.
- Do not use AI outputs as a substitute for professional, legal, financial, investment, regulatory, or compliance advice.
- Do not attempt to bypass safety controls, extract system prompts, generate malicious instructions, automate prohibited communications, or misrepresent AI-generated content as verified professional advice.
10. Misuse of Communication Channels
Customers must use email, messaging, telephony, WhatsApp, SMS, and other communication channels lawfully and responsibly. Customers are responsible for consent, lawful basis, opt-out handling, message content, timing, sender identity, recordkeeping, and compliance with channel-specific policies.
11. Illegal Marketing and Regulatory Violations
VantixOS must not be used for illegal marketing, unauthorised financial promotions, misleading investment solicitations, unlawful brokerage activity, deceptive lead generation, privacy violations, consumer protection violations, or communications that require licences, approvals, disclaimers, or supervisory controls that the customer does not have.
12. Data Protection and Privacy Abuse
- Do not use VantixOS to process personal data without appropriate rights, notices, consents, lawful bases, contracts, or safeguards.
- Do not upload sensitive information unless permitted by the customer's plan, configuration, applicable law, and internal policies.
- Do not use VantixOS to profile, discriminate, or make unlawful automated decisions about individuals.
13. Resource Abuse
Customers must not use the Services in a way that imposes unreasonable load, degrades service performance, consumes excessive resources, bypasses usage limits, or interferes with other customers. VantixOS may apply rate limits, throttling, usage controls, or temporary restrictions to protect the Services.
14. Enforcement Rights
VantixOS may investigate suspected violations and may suspend, limit, remove, quarantine, or disable accounts, content, integrations, workflows, messages, or access where VantixOS reasonably believes a violation has occurred or may occur. VantixOS may report unlawful activity to appropriate authorities where required or appropriate.
15. Customer Responsibility
The customer is responsible for its users, Customer Data, communications, integrations, templates, workflows, AI prompts, AI outputs used by the customer, and downstream use of the Services. The customer must promptly remediate violations and cooperate with VantixOS investigations.
16. Reporting Violations
Suspected abuse, unlawful content, security concerns, or policy violations may be reported to legal@vantixos.com or support@vantixos.com. Reports should include relevant account, message, URL, user, date, and evidence details where available.
